Summary of Position:
This position provides administrative support across key human resource functions. Responsibilities include assisting with recruitment and hiring activities, coordinating onboarding, maintaining employee records, administering benefits, ensuring regulatory compliance, and supporting payroll processing. The role ensures accurate recordkeeping, efficient workflows, and consistent administrative support across the HR function.
Based on the duties described below, this is a full-time, non-exempt, fully remote position. This position reports to the Chief Operating Officer.
Nature and Scope:
The HR Coordinator supports essential payroll and HR activities for the Association. This role provides day-to-day administrative support, ensuring accurate payroll processing, timely benefits administration, compliant employee documentation, and effective recruitment coordination. The position plays a key role in maintaining organizational compliance and ensuring consistent, high-quality execution of HR workflows.
Principal Accountabilities:
- Support end-to-end payroll activities, including timesheet reconciliation, leave balance updates, payroll tax reporting and accurate 401(k) contribution processing.
- Support employee benefit administration, annual open enrollment, new employee enrollment, terminations, and monthly invoice reconciliation.
- Coordinate onboarding processes by preparing new-hire documentation, completing Form I-9 verification and facilitating background check requirements.
- Support recruitment efforts by posting job openings, coordinating candidate communication, and assisting with job description development and updates.
- Support the annual performance review cycle and merit processing as requested.
- Contribute to the planning and execution of staff events and employee recognition initiatives that promote a positive workplace culture.
- Maintain organized and compliant electronic personnel files, ensuring adherence to Association policies and federal/state regulations.
- Distribution of new/revised policies and the employee handbook acknowledgment.
- Prepare and maintain documentation, standard operating procedures, and compliance records for HR function.
- Respond to employee inquiries related to HR policies, benefits, payroll, and general HR support. Perform additional duties as needed to ensure effective HR, payroll, and administrative support.
Qualifications:
- Associate’s degree in Human Resources, Business Administration, or a related field required; Bachelor’s degree preferred.
- 4 years of HR and payroll experience, including onboarding, recruitment support, payroll processing, accounts payable, and accounts receivable; non-profit experience preferred.
- Foundational understanding of employment laws and compliance requirements (I-9, FLSA, ADA, EEOC, record retention).
- Working knowledge of HR processes, including onboarding, benefits administration, personnel file management, and recruitment workflows.
- Familiarity with benefits programs, enrollment processes, and monthly invoice reconciliation.
- Knowledge of HRIS and payroll systems, with proficiency in Microsoft Office Suite.
- Strong attention to detail and ability to manage confidential information with discretion.
- Strong organizational and time-management skills, with the ability to prioritize, meet deadlines, and manage multiple workstreams.
- Ability to communicate professionally in writing and verbally, work effectively in a remote environment, and provide responsive internal customer service.
Travel Requirements:
Required: Must be able to travel 7–10 days per year.
